# Inventory Management

> Track what you have, where it is and how much you can sell across every location, and keep stock in sync on every sales channel to avoid overselling.

Inventory Management is the record of what you have, where it is, and how much of it you can actually sell. OTO ships it as **OTO INVENTORY**, and it is the number every storefront in your business quotes back to a customer.

## The problem it solves

Overselling and stocking out are the same failure seen from opposite sides. Sell what you do not have and you cancel an order that was already paid for; hide what you do have and you turn away a sale that was already made. Both come from the same cause — a stock number that is a guess by the time anyone reads it.

The difficulty is that stock is not one number. A unit can be on a shelf and already promised to someone. It can be in the building but damaged. It can exist in a warehouse that this particular storefront does not ship from. A system that reports “47” and leaves the reader to work out which 47 it means is the problem, not the solution.

## Two numbers, and the gap between them

OTO INVENTORY keeps two figures for every product, and almost everything in this module is downstream of the distinction.

| **Quantity on Hand** | The physical stock in the warehouse or branch. What you would find if you walked in and counted. | When goods arrive, when an order is fulfilled, when a return is received, when a count is reconciled. |
| **Quantity Available** | The sellable stock — on hand, minus what is already reserved for pending orders. | The moment an order is placed, before anyone has touched a shelf. |

The storefront is quoted availability, not physical stock. Everything in this module exists to keep that number honest.

Two more columns follow them. **Bin Quantity** is the same stock totalled from the bins it actually sits in, and **Min Inventory** is the floor you have set for that SKU at that location. Every column filters — the quantity columns by a **Min**/**Max** range — and the **Tools** menu above the table holds the maintenance actions covered in [inventory tracking](https://docs.tryoto.com/modules/inventory-management/inventory-tracking.md).

> **Bin-level detail is an edition**
>
> Tracking stock down to the bin — and therefore bin counts, bin transactions and the Bin Inventory tab — belongs to **OTO PACK Advanced with bin tracking**. Without it, stock is held per warehouse and branch, which is enough for many operations and considerably less to maintain.

## Who runs it

| Role | What they do here |
| - | - |
| **Inventory controller** | Owns the accuracy of the number. Runs counts, investigates discrepancies, sets minimum stock. |
| **E-commerce manager** | Decides what each channel is told — the calculation method, the safety buffer, which locations feed which storefront. |
| **Catalog owner** | Sets up products: barcodes, dimensions, bundles, serial requirements. |
| **Warehouse staff** | Every scan they make is an inventory movement, whether they think of it that way or not. |
